Overview

Reporting to the Publicity Manager, this role is responsible for supporting the Shaftesbury Communications & Marketing team in executing innovative communications plans and campaigns across the company’s wide range of television, digital, and film properties. Tasks are varied, extensive and timely. Main responsibilities include coordinating and distributing all publicity and marketing deliverables (eg. stills photography, EPK, press kits), ongoing media relations, writing and distributing press materials, maintaining media contact database and media site management, press coverage collection and reporting.

Responsibilities

  • Work with Publicity Manager to generate and maximize positive publicity for Shaftesbury television, digital, and film properties.
  • Coordinate and manage distribution of publicity and marketing deliverables – including stills photography, synopses, EPK, screeners – to broadcast, distribution, funding partners.
  • Update and maintain media contact database.
  • Manage and maintain Shaftesbury media site – upload and update assets, review user access requests.
  • Field requests for photos and other assets from press outlets, channel and distribution partners, and other partners.
  • Monitor media coverage – track coverage, create daily clippings package, compile publicity coverage summary packages for key campaigns.
  • Write communications materials for external and internal audiences, such as episode synopses, press kits, press releases, weekly updates.
  • Maintain the department’s mailing list, including contacts for talent, agency representatives and vendors.
  • Create/Maintain various team documents, departmental files, and publicity reports.
  • Develop processes that simplify, automate, and add reliability to departmental procedures.
  • Code invoices and tracks expenditures for budget management. Manage expense reports for Director, as needed.
  • Assist in the organization and execution of special events, as required, including fan, staff, and media events.
  • Organize travel arrangements for talent and executives. Create talent and executive itineraries.
  • Assist with meeting scheduling, as needed.
  • Work screenings, press junkets, set visits, and special events, as needed.
  • Handle annual media subscription renewals.
  • Manage email accounts, including series and corporate accounts. Handle fan inquiries and correspondence, including autograph requests, donation requests.
  • Track and coordinate awards submissions including compiling required materials.
  • Assist department with special projects, as needed.
  • Other duties as assigned.

Skills & Qualifications

  • Undergraduate degree in journalism, communications, marketing or similar field
  • 1-2 years of experience at a media company or PR/promotion agency (entertainment industry experience preferred).
  • Exceptional organizational and written/oral communication skills.
  • The ability to juggle multiple projects simultaneously, pivot and adapt to shifting priorities, perform under pressure, meet deadlines, and pay close attention to detail.
  • Thorough, completes tasks and follows up.
  • Excellent problem solver.
  • Strong MS Word, Excel and PowerPoint skills.
  • Must be professional, adaptable and reliable.
  • Must be able to work some nights and weekends as needed.
  • A passion for entertainment and popular culture.
